Filter and Search Clients

Overview

As your client list grows, finding specific clients becomes essential. growlio provides multiple ways to filter and search your client database including text search, status filters, source filters, country filters, and date ranges. This guide shows you how to use each filtering option to find exactly what you need.

Prerequisites

  • An active growlio account with at least one client added
  • Access to the Clients page

How to Search and Filter Clients

Step 1: Navigate to the Clients Page

From your growlio dashboard, click Clients in the main navigation to access your full client list.

Step 2: Use the Search Bar

The search bar at the top of the page provides instant results as you type.

What you can search for:

  • Client names (e.g., "John" or "Smith")
  • Email addresses (e.g., "john@example.com")
  • Phone numbers (e.g., "555-1234")
  • Company names (e.g., "Acme Corp")

Simply start typing in the search field, and the results update automatically to show only matching clients.

Tip: The search is case-insensitive, so you can type in lowercase and still find clients with capitalized names.

Step 3: Filter by Client Status

Use the status tabs below the page header to quickly filter clients by their current status:

  • All Clients: Shows every client in your database
  • Active: Displays only clients marked as Active
  • Inactive: Shows clients you've marked as Inactive

Click any tab to switch between views. The number next to each tab shows how many clients match that status.

Tip: Use the Inactive status for past clients you're no longer actively working with, but want to keep in your database for reference.

Step 4: Apply Advanced Filters

For more precise filtering, use the dropdown filters located in the filter bar:

Status Filter:

  • Choose between Active or Inactive to filter within your current view
  • Useful when combined with other filters

Source Filter:

Select where clients originated from:

  • Referral
  • Website
  • LinkedIn
  • Upwork
  • Fiverr
  • Networking
  • Cold Outreach
  • Partnership
  • Conference
  • Other

Country Filter:

  • Filter clients by their country location
  • Only shows countries where you have existing clients
  • Useful for regional business analysis

Step 5: Use Date Range Filters

Filter clients based on when they were added to your system:

Click the date range dropdown and select from preset options:

  • Today
  • Yesterday
  • This Week
  • Last Week
  • This Month
  • Last Month
  • This Quarter
  • Last Quarter
  • This Year
  • Last Year
  • Custom Range

For custom date ranges:

  1. Select "Custom Range" from the dropdown
  2. Choose your start date
  3. Choose your end date
  4. The table updates automatically

Tip: Use date ranges to analyze client acquisition patterns and track growth over specific periods.

Step 6: Combine Multiple Filters

growlio allows you to stack filters for precise results. For example:

  • Search for "design" + Filter by "Referral" source + Filter by "This Month"
  • This shows all design-related clients who came from referrals this month

All filters work together to narrow your results.

Step 7: Reset All Filters

To clear all active filters and return to the full client list:

  1. Click the Reset button next to the filter dropdowns
  2. Or manually clear the search bar and set filters back to "All"

Quick Filter Badges

Below the filter bar, you'll see quick filter badges for common scenarios:

  • Has Company: Shows only clients with a company name entered
  • Individual: Displays clients without a company affiliation

Click any badge to toggle it on or off. Active badges are highlighted in blue.

Tips and Best Practices

Save time with keyboard shortcuts: Click into the search bar and start typing immediately. Use the arrow keys to navigate results.

Combine source tracking with date ranges: Analyze which lead sources performed best during specific time periods by filtering Source + Date Range together.

Use country filters for regional analysis: If you serve clients globally, filter by country to analyze regional performance or plan targeted outreach.

Keep your client statuses updated: Regularly mark inactive clients so your filters return accurate results. This helps you focus on active relationships.

Export filtered results: After applying filters, use the Export button to download a CSV of just the filtered clients for reporting or analysis.

Troubleshooting

Issue: Search isn't returning results even though I know the client exists.

Solution: Check for typos in your search query. Also verify you're not filtering by a status that excludes the client (e.g., searching while on the "Active" tab when the client is Inactive). Click "All Clients" to search across all statuses.

Issue: The country filter is empty or missing countries I know I have clients in.

Solution: The country filter only displays countries where you have at least one client with that country assigned. If a country is missing, check that you've actually entered country information for clients from that location.

Issue: Date range filter shows no results.

Solution: Verify that you have clients created within the selected date range. Remember, the date filter uses the "Client Since" date (when they were added to growlio), not when you last interacted with them.

Issue: I can't find a specific filter option.

Solution: Some filter options may be plan-dependent or feature-dependent. Ensure you're on a plan that supports advanced filtering. Also check if the feature you're looking for is in a different module (like Leads or Projects).
