Inviting Team Members

Overview

growlio becomes more powerful when your entire team uses it together. Inviting team members allows you to collaborate on projects, share client information, and distribute workload effectively. This guide explains how to invite colleagues, assign roles, and manage team access to ensure smooth collaboration while maintaining security.

Prerequisites

  • Administrator or Owner role in your organization
  • Team members' email addresses
  • Understanding of role requirements for each team member

How to Invite Team Members

Step 1: Access Organization Settings

Click on your organization name in the top navigation bar, then select "Settings" from the dropdown menu. This opens the organization settings page where you can manage team access.

Step 2: Navigate to Team Section

Click on the "Team" tab in the left sidebar of the settings page. This displays your current team members and provides options to invite new ones.

Tip: Review your current team list before inviting new members to avoid duplicate invitations.

Step 3: Click Invite Team Member

Locate and click the "Invite Member" or "Add Team Member" button near the top of the team section. This opens the invitation modal where you'll enter new member details.

Step 4: Enter Email Address

Type the team member's email address carefully in the "Email" field. This is where they'll receive their invitation and use to log in to growlio.

Tip: Use business email addresses when possible for better security and professional appearance.

Step 5: Assign a Role

Select the appropriate role from the dropdown menu. Choose between Owner, Administrator, Member, or Viewer based on the person's responsibilities and required access level.

Step 6: Add Personal Message (Optional)

Include a personalized invitation message to provide context about why you're inviting them and what they should expect. This makes the invitation more welcoming and clear.

Tip: Explain the role they'll have and what areas of growlio they'll primarily use.

Step 7: Send Invitation

Click the "Send Invitation" button to email the invitation to your team member. They'll receive an email with instructions to accept and join your organization.

Step 8: Track Invitation Status

After sending, the invitation appears in your pending invitations list with a "Pending" status. You can resend or cancel invitations from this view if needed.

Step 9: Invite Additional Members

Repeat steps 3-7 for each team member you want to add. You can invite multiple people in one session to quickly build your team.

Step 10: Confirm Team Member Joined

Once team members accept their invitations, they move from "Pending" to "Active" status in your team list. You'll see their profile information and can modify their roles if needed.

Tips & Best Practices

  • Invite team members systematically based on their roles and responsibilities
  • Assign the minimum role level needed for each person's job function
  • Send invitations during business hours so members can join immediately
  • Include onboarding instructions in your invitation message
  • Create a team structure document before sending invitations
  • Set up team guidelines for using growlio consistently
  • Review team access quarterly and remove inactive members
  • Use viewer roles for stakeholders who only need read access
  • Encourage new members to complete their profiles after joining
  • Schedule a brief training session for new team members

Troubleshooting

Issue: Team member didn't receive invitation email

Solution: Verify the email address is spelled correctly. Ask them to check spam or junk folders. Resend the invitation from the pending invitations list. Ensure their email provider isn't blocking emails from growlio.

Issue: Can't send invitations - button is disabled

Solution: Only Owners and Administrators can invite team members. Check your role in Settings > Team. Contact your organization owner if you need permission to invite others.

Issue: Reached team member limit

Solution: Free and basic plans limit the number of team members. Check your current plan in Settings > Billing. Upgrade to a higher tier for more team seats, or remove inactive members to free up spaces.

Issue: Invited person can't create an account

Solution: Ensure they're using the invitation link from their email, not trying to sign up directly. The invitation link contains a unique token that associates them with your organization.

Issue: Wrong role assigned to team member

Solution: You can change roles after they join. Go to Settings > Team, find the member, click the three-dot menu, and select "Change Role". Choose the appropriate role and save.
