Exporting Clients Data

Overview

Exporting client data gives you flexibility to analyze information in spreadsheets, create backups, or share data with other systems. growlio provides powerful export capabilities that let you download all clients or filtered subsets in CSV format. This guide explains how to export data effectively and what information is included.

Prerequisites

  • Active growlio account with client data
  • Member-level access or higher
  • Understanding of CSV file format
  • Spreadsheet application (Excel, Google Sheets, etc.)

How to Export Client Data

Step 1: Navigate to Clients Section

Go to Business > Clients from the main navigation menu. This displays your complete clients list with all available records and filtering options.

Step 2: Apply Filters (Optional)

Before exporting, use filters to narrow down which clients to include. Filter by status, source, country, date range, or any other available criteria. Your export will include only the filtered results.

Tip: Export filtered data when you need specific segments, like all active clients from a particular region.

Step 3: Select Specific Clients (Optional)

To export only certain clients, check the boxes next to individual client names. When selections are made, the export button changes to show it will export only selected records.

Step 4: Click Export Button

Find the "Export" button in the top-right corner of the clients page. The button shows a download icon and indicates how many clients will be exported based on your filters or selections.

Step 5: Wait for Processing

growlio prepares your export file. This usually takes a few seconds for small lists, longer for thousands of records. A progress indicator shows the export is being prepared.

Tip: Large exports (1000+ records) may take 30-60 seconds. Don't close the browser tab while processing.

Step 6: Download CSV File

Once processing completes, your browser automatically downloads a CSV file named something like "clients_export_2025-01-15.csv". The filename includes the export date for easy organization.


Step 7: Open in Spreadsheet Application

Locate the downloaded file and open it in Excel, Google Sheets, or your preferred spreadsheet application. The file opens with all client data in organized columns.

Step 8: Review Exported Columns

Check that all expected information exported correctly. Standard exports include: name, email, phone, company, type, source, status, created date, and last activity.


Tip: Custom fields you've added in growlio also appear in exports with their configured column names.

Step 9: Save for Future Use

Save the CSV file to your preferred location. Consider organizing exports by date and purpose (e.g., "Monthly Backups" or "Marketing Analysis").


Step 10: Import to Other Tools

Use the exported CSV to import client data into other systems, create mail merge documents, or perform advanced analysis in tools like Excel or business intelligence platforms.

Troubleshooting

Issue: Export button is disabled

Solution: Ensure you have clients in your database that match current filters. Clear all filters to see all clients. Verify you have Member-level permissions or higher - Viewers cannot export data.

Issue: Downloaded file is empty

Solution: Check that your filters aren't excluding all records. Try clearing filters and exporting again. Verify clients exist in your database by checking the clients list count.

Issue: Export fails or times out

Solution: You may have too many clients for a single export. Try filtering to smaller segments and exporting in batches. Check your internet connection. Contact support if exporting fewer than 1000 records fails.

Issue: Missing columns in export

Solution: Some fields may be empty for all clients. Check individual client records to verify data exists. Custom fields only appear if you've added them in organization settings.

Issue: Can't open CSV file

Solution: Ensure you have a spreadsheet application installed. Right-click the file and choose "Open With" to select Excel or Google Sheets. CSV files are plain text and can be opened in any text editor if spreadsheet apps aren't available.
