As your project progresses, you'll need to update various details to reflect current status, adjust timelines, manage budgets, and modify team assignments. growlio makes it easy to keep all project information current so your team always has accurate data to work with.

This guide shows you how to access and update all aspects of your project settings, from basic information to advanced configurations.

Prerequisites

  • An existing project in your growlio organization
  • Edit permissions for the project (Project Manager, Owner, or Admin)
  • Understanding of your project's current status and needs

How to Manage Project Details

Step 1: Open Your Project

Navigate to the Projects section and click on the project you want to manage. This will open the project details page where you can view all project information and access editing options.

Step 2: Click the Edit Button

In the project header area, locate and click the "Edit" button (pencil icon) next to the project name. This opens the Edit Project modal with all current project information.

Step 3: Update Project Name and Description

Modify the project name or description as needed. You might need to update these if the project scope has changed or if you need to clarify the project purpose for your team.

Step 4: Adjust Project Timeline

Update the start date and end date using the date pickers. Moving deadlines is common as projects evolve, and keeping dates accurate helps your team plan their work effectively.

Tip: When extending a project deadline, communicate the change to your team and explain the reasons to maintain transparency.

Step 5: Modify Project Budget

Update the budget field if your project budget has changed. You can see the current budget spent amount to help you make informed decisions about budget adjustments.

Step 6: Change Project Status

Select a new status from the dropdown if your project has moved to a different phase. Changing from "In Progress" to "Completed" or "On Hold" helps your team understand current project state.

Step 7: Update Project Priority

Adjust the priority level if business needs have changed. Moving a project to "Critical" priority helps your team understand urgency and allocate resources accordingly.

Step 8: Manage Team Member Assignments

Add new team members or remove existing ones using the team member section. Click "Add Team Member" to assign new people, or click the X next to existing members to remove them.

Step 9: Change Team Member Roles

Click on a team member's current role to change it between Project Manager, Member, or Observer. Different roles have different permissions for editing project details and managing tasks.

Step 10: Save Your Changes

After making all necessary updates, click the "Save Changes" button at the bottom of the modal. Your updates will be applied immediately and team members will see the changes in their project views.

Tips & Best Practices

  • Review and update project details regularly, ideally during weekly team meetings
  • Keep project status current to help stakeholders understand progress at a glance
  • Document major changes in the project description for future reference
  • Adjust budgets proactively when scope changes to avoid surprises
  • Communicate timeline changes to all stakeholders immediately
  • Remove team members who are no longer working on the project to keep access permissions accurate
  • Use priority levels strategically to help your team focus on what matters most
  • Track budget spent versus total budget to identify potential overruns early

Troubleshooting

Issue: I can't see the Edit button on my project.

Solution: Check your permissions for this project. Only Project Managers, Admins, and Owners can edit project details. Contact your organization administrator if you need edit access.

Issue: Changes I made aren't showing up for other team members.

Solution: Ensure you clicked "Save Changes" after making your updates. If you closed the modal without saving, your changes won't be applied. Try editing again and make sure to save before closing.

Issue: I can't change the project client after creation.

Solution: Client changes are restricted after project creation to maintain data integrity. If you need to change the client, you may need to create a new project or contact your organization administrator for assistance.

Issue: The budget spent amount seems incorrect.

Solution: Budget spent is calculated from time entries and expense records. Verify that all time tracking and expenses are accurately recorded and assigned to the correct project. You may need to audit time entries to find discrepancies.

Issue: Team members aren't receiving notifications about project changes.

Solution: Check your organization's notification settings to ensure project update notifications are enabled. Some users may have personally disabled project notifications in their account settings.
