Tasks are the building blocks of project work in growlio. They represent individual units of work that need to be completed to move your project forward. Creating well-defined tasks helps your team understand exactly what needs to be done, who's responsible, and when it should be finished.
Whether you're creating tasks within a specific project or as standalone work items, this guide will show you how to set up tasks with all the necessary details for successful execution.

- An active growlio account with access to projects
- At least one project created (for project-specific tasks)
- Basic understanding of your team's workflow and responsibilities
How to Create a New Task
Step 1: Navigate to the Task Creation Area
You can create tasks in two ways: from within a specific project or from the "All Tasks" view. To create a task within a project, open the project and look for the "Add Task" button. To create a standalone task, go to the Tasks section and click "Add Task."

Step 2: Click Add Task or Add New
Click the blue "Add Task" button in the top-right corner. This opens the Create Task modal where you'll define all task details.

Step 3: Enter the Task Title
Type a clear, action-oriented title that describes what needs to be done. Good task titles start with verbs like "Design," "Build," "Review," or "Fix" and clearly state the deliverable or outcome.

Tip: Keep task titles under 60 characters for better readability in task lists and kanban boards.
Step 4: Add a Detailed Description
In the description field, provide context about what needs to be accomplished. Include acceptance criteria, links to relevant resources, and any special instructions the assignee needs to know.

Step 5: Select the Project
If you're not already within a project, use the "Project" dropdown to select which project this task belongs to. Tasks can also be created without a project if they're standalone work items.

Step 6: Set the Task Status
Choose the initial status for your task. Options include:
- To Do: Task is ready to be worked on
- In Progress: Work has started
- In Review: Task is being reviewed
- Blocked: Task cannot proceed due to dependencies
- Completed: Task is finished

Step 7: Assign Priority Level
Select a priority (Low, Medium, High, or Urgent) to help assignees understand which tasks need immediate attention. Priority affects task sorting and helps with workload management.

Step 8: Assign Team Member
Click the "Assign To" dropdown and select the team member responsible for completing this task. You can assign tasks to any team member with access to the project or your organization.

Tip: Assign tasks to specific people rather than leaving them unassigned to ensure clear ownership and accountability.
Step 9: Set a Due Date
Use the date picker to set when this task should be completed. Due dates help with scheduling and prevent tasks from being forgotten. Tasks approaching their due date will show up in overdue filters and reminders.

Step 10: Add Additional Details (Optional)
Depending on your needs, you can add:
- Tags for categorization
- Time estimates
- Subtasks or checklists
- File attachments
- Dependencies on other tasks

Step 11: Create the Task
Review all the information you've entered and click the "Create Task" button at the bottom of the modal. Your task will be created and will appear in the relevant project kanban board or task list.

- Write task titles as action items starting with verbs to make them clear and actionable
- Include acceptance criteria in task descriptions so assignees know when the task is truly complete
- Set realistic due dates based on task complexity and team capacity
- Use priority levels consistently across your organization to avoid priority inflation
- Break large tasks into smaller, manageable subtasks that can be completed in 1-3 days
- Assign tasks to specific people to ensure accountability and prevent confusion
- Add relevant tags to make tasks easier to find and filter
- Link related tasks together to show dependencies and workflow sequences
- Review and groom your task list regularly to keep it up to date
Troubleshooting
Issue: I can't create tasks in a specific project.
Solution: Check that you have the appropriate permissions for that project. Only project team members with Member or higher roles can create tasks. Contact your project manager or administrator if you need access.
Issue: The team member I want to assign isn't in the dropdown.
Solution: The team member must be added to the project before they can be assigned tasks. Go to the project settings and add them as a team member first, then return to create the task.
Issue: My task disappeared after creation.
Solution: Check your current filters and search terms. Tasks can be hidden if you have status filters applied. Clear all filters or check the "All Tasks" view to locate your task.
Issue: I can't set a due date in the past.
Solution: growlio prevents setting due dates in the past to avoid confusion. If you need to create a task for work that was supposed to be completed earlier, set today's date as the due date and add a note in the description about the original timeline.
Issue: The Create Task button is grayed out.
Solution: Ensure you've filled in all required fields, particularly the task title. The Create button won't be enabled until mandatory fields are completed. Check for any error messages next to form fields.
