Email professional proposals and track delivery status.
Overview
Once your proposal is complete, send it directly to clients via email. The system handles delivery and tracks when recipients view your proposal.
Sending a proposal
- Complete all proposal details in Steps 1 & 2.
- In Step 3: Review & Send, add recipient information:
Recipient Emails (Required)
- Enter client email addresses
- Press Enter, Tab or comma to add multiple emails
- Remove emails by clicking the X next to each address
Personal Message (Optional)
- Add a custom message that appears in the email
- Keep it brief and professional
- This appears before the standard proposal email content
- Review the Proposal Summary to verify all details.
- Click Send to deliver immediately.
What recipients receive
Clients get a professional email containing:
- Subject line – "Proposal Ready: [Your Proposal Name]"
- Personal message (if included)
- Direct link to view the proposal online
- Copy-paste URL for easy access
- Organization branding and contact information

Proposal status tracking
After sending, proposals automatically update status:
- Draft → Sent when delivered successfully
- View delivery confirmation in the proposals list
- Track which proposals are awaiting client response
Managing sent proposals
View Sent Proposals:
- Filter proposals by Sent status
- See delivery date and recipient information • Monitor which proposals need follow-up
Follow-Up Actions:
- View Details – see the proposal as clients see it
- Download PDF – save a copy for your records
- Change Status – update to Accepted/Rejected when decided
Troubleshooting delivery
Email not received:
- Check client's spam/junk folder
- Verify email addresses are correct
- Contact recipients to whitelist your domain
Proposal link not working:
- Links are valid for the proposal's expiry date
- Ensure proposal hasn't been deleted
- Resend if necessary
Best practices
- Double-check email addresses before sending
- Add a personal touch with custom messages
- Follow up within 48-72 hours if no response
- Set realistic expiry dates to create urgency
- Save a PDF copy for your records before sending
