Manage proposal status
Update proposals through your sales pipeline from draft to accepted.
Proposal status overview
Track where each proposal stands in your sales process:
- Draft – proposal is being created or edited
- Sent – delivered to client, awaiting response
- Accepted – client approved the proposal
- Rejected – client declined the proposal
Changing proposal status
From Table View:
- Click the status pill next to any proposal.
- Select the new status from the dropdown.
- Status updates immediately.
From Actions Menu:
- Click the ⋮ menu at the end of any proposal row.
- Under Change Status, choose the new stage.
- Confirm the change.
Mobile Card View:
- Tap the status pill on any proposal card.
- Select the new status from the list.
- Status saves automatically.
When to update status
Draft → Sent:
- Automatically happens when you send the proposal
- Can also manually mark as sent if delivered outside the platform
Sent → Accepted:
- Client verbally accepts or signs
- You receive written confirmation
- Ready to begin project work
Sent → Rejected:
- Client declines the proposal
- No response after follow-up period
- Budget or scope doesn't align
Status-based workflows
Draft Proposals:
- Continue editing content and pricing
- Test different approaches before sending
- Save incomplete work for later
Sent Proposals:
- Monitor for client responses
- Schedule follow-up communications
- Track response times and patterns
Accepted Proposals:
- Convert to active projects
- Begin contract preparation
- Start project planning and execution
Rejected Proposals:
- Analyze feedback for improvements
- Archive for future reference
- Learn from unsuccessful pitches
Tracking and reporting
Filter by Status:
- Use status filters to see proposals at each stage
- Monitor conversion rates from sent to accepted
- Identify bottlenecks in your sales process
Pipeline Metrics:
- Track how long proposals spend in each status
- Calculate acceptance rates by client type
- Optimize your proposal process over time
Bulk status changes
Currently, status changes must be made individually. For efficiency:
- Use table view for quick status updates
- Group similar proposals by creation date
- Consider status when creating new proposals
Best practices
- Update status promptly when you learn of client decisions
- Follow up on sent proposals within 48-72 hours
- Analyze rejected proposals to improve future success
- Archive old drafts that are no longer relevant
- Celebrate accepted proposals and convert them to projects quickly
