Leads Kanban Board
Understanding the Kanban Board
Summary: Master the Kanban board view to visualize and manage your sales pipeline efficiently.
Overview
The Kanban board is growlio's visual sales pipeline that helps you track leads through every stage of your sales process. Organize leads by status, drag and drop cards between columns, and get a clear overview of your entire pipeline at a glance. This guide explains how to use the Kanban board effectively.
Prerequisites
- An active growlio account
- At least one lead added to your system
- Access to the Leads page
Understanding Kanban Board Columns
The Kanban board organizes leads into seven status columns representing your sales pipeline:
New: Freshly captured leads that haven't been contacted yet
Contacted: Leads you've reached out to for initial communication
Qualified: Verified opportunities that match your ideal customer profile
Proposal: Leads who have received a formal proposal from you
Negotiation: Active discussions about terms, pricing, or contract details
Won: Successfully converted leads (automatically become clients)
Lost: Opportunities that didn't convert or went cold
Each column displays cards representing individual leads, with key information visible at a glance.

How to Use the Kanban Board
Viewing Lead Details
Each lead card shows:
- Lead name
- Company name (if provided)
- Estimated deal value
- Contact information icons
- Time since last update
Click any card to open the full lead details in an edit modal.
Moving Leads Between Columns
To update a lead's status, simply drag and drop the card:
- Click and hold the lead card
- Drag it to the new status column
- Release to drop it in place
- growlio automatically saves the status change
Tip: Drag-and-drop is the fastest way to update multiple lead statuses. It's perfect for daily pipeline reviews or team standup meetings.
Adding New Leads from Kanban
You can add a lead directly to any column:
- Hover over the top of any status column
- Click the + icon or "Add Lead" button
- The Add Lead modal opens with that status pre-selected
- Fill in lead details and save
This is useful when you want to add a lead that's already progressed past "New" status.
Filtering the Kanban View
Use the filter bar above the Kanban board to narrow down visible leads:
- Search: Find specific leads by name, company, or email
- Source: Show only leads from specific channels
- Value Range: Filter by estimated deal value
- Date Range: View leads added within specific timeframes
Filtered views help you focus on high-priority leads or specific market segments.

Kanban Board Features
Column Counts
Each column header displays the number of leads in that status. This gives you instant visibility into pipeline health:
- Too many in "New"? Time to reach out.
- Large "Proposal" column? Follow up on pending proposals.
- Growing "Negotiation" column? Good sign of closing deals.
Visual Deal Value
The Kanban board shows estimated values on each card, helping you:
- Prioritize high-value opportunities
- Forecast potential revenue
- Balance your pipeline across deal sizes
Quick Actions
Hover over any lead card to reveal quick action buttons:
- Edit: Open the full lead details
- Convert: Transform the lead into a client
- Delete: Remove the lead from your pipeline
Column Scrolling
When you have many leads, columns become scrollable. Each column scrolls independently so you can view different sections of your pipeline simultaneously.
Tips and Best Practices
Review your board daily: Make Kanban review part of your morning routine to stay on top of follow-ups and status changes.
Use drag-and-drop during calls: Update lead status in real-time during phone conversations or meetings for accurate pipeline tracking.
Keep the "New" column clean: Aim to contact or qualify new leads within 24-48 hours. An overflowing "New" column indicates bottlenecks.
Monitor the "Contacted" and "Qualified" columns: These represent your active pipeline. Too many leads stuck here might mean you need to send more proposals.
Don't let leads linger in "Negotiation": Long negotiation periods often lead to lost deals. Set follow-up reminders and push for decisions.
Move lost leads quickly: Don't let cold leads clutter your pipeline. Mark them as Lost so you can focus on active opportunities.
Color-code by value: While growlio doesn't currently support custom colors, you can use the value field to visually identify your highest-priority leads.
Alternative Views
growlio offers multiple ways to view your leads beyond Kanban:
Table View: Traditional spreadsheet-style list with sortable columns
- Best for bulk editing and detailed analysis
- Access via the "Table" tab above your leads
List View: Grouped by status with expandable sections
- Compact view for seeing more leads at once
- Access via the "List" tab
Tip: Switch between views based on your task. Use Kanban for pipeline management, Table for bulk updates, and List for quick status checks.
Troubleshooting
Issue: I can't drag and drop lead cards.
Solution: Ensure you're clicking and holding on the card itself, not on buttons or links within the card. If the issue persists, try refreshing your browser. Some browser extensions can interfere with drag-and-drop functionality.
Issue: My Kanban board is empty even though I have leads.
Solution: Check your filter settings. Click the "Reset" button in the filter bar to clear all active filters. Also verify you're on the "Kanban" tab, not "Table" or "List" view.
Issue: Lead cards are showing outdated information.
Solution: Refresh your browser to fetch the latest data. If you have multiple team members, they may be updating leads simultaneously. growlio syncs changes automatically, but a manual refresh ensures you see the most current state.
Issue: A column is too wide or too narrow.
Solution: Kanban columns automatically adjust based on screen size and content. Try adjusting your browser window size or zoom level. The board is responsive and optimizes for your viewport.
Issue: I accidentally moved a lead to the wrong column.
Solution: Simply drag it back to the correct column. All status changes are tracked in the lead's activity history, so you can see the complete movement timeline.
