Overview

With dozens or hundreds of leads in your pipeline, finding specific prospects quickly becomes essential. growlio's filtering and search features let you narrow down leads by any criteria, from status and source to value and location. This guide teaches you advanced techniques to find leads efficiently and gain insights into your pipeline.

Prerequisites

  • Active growlio account with lead data
  • Access to the leads section
  • Basic understanding of your lead data fields

How to Filter and Search Leads

Step 1: Navigate to Leads Page

Go to Business > Leads to access your leads list. You'll see all leads displayed in your preferred view (Kanban, Table, or List).

Step 2: Use the Search Bar

Click the search bar at the top of the leads section. Type any text to search across lead names, companies, emails, phone numbers, and notes. Results filter instantly as you type.

Tip: Search works across multiple fields simultaneously. Typing a company name finds all leads from that organization.

Step 3: Filter by Status

Click the "Status" filter dropdown to see all available lead statuses. Select one or multiple statuses to show only leads in those stages of your pipeline.

Step 4: Filter by Source

Use the "Source" dropdown to filter leads by how they came to you. Select Website, Referral, LinkedIn, or any other source you track to analyze which channels are most effective.

Tip: Filtering by source helps identify your best lead generation channels and where to focus marketing efforts.

Step 5: Filter by Lead Type

Select lead type (Company, Individual, Government, Non-Profit) to segment your pipeline. This is useful for tailoring your approach based on lead characteristics.

Step 6: Apply Value Filters

Filter leads by estimated value brackets to prioritize high-value opportunities. Select ranges like "$5,000 - $10,000" to focus on deals matching your target size.

Step 7: Use Date Range Filters

Filter leads by creation date to see new prospects from specific time periods. Use preset ranges (This Week, Last Month) or create custom date ranges.

Tip: Date filtering helps identify leads that might need follow-up if they've been in the pipeline too long.

Step 8: Combine Multiple Filters

Apply several filters simultaneously to create very specific views. For example, show only "qualified" leads from "LinkedIn" created "this month" worth over "$10,000".

Step 9: Use Quick Filters

Click quick filter buttons like "Company" or "Individual" for instant one-click filtering. These shortcuts save time for commonly used filter combinations.

Step 10: Clear All Filters

When you're done with filtered views, click "Clear Filters" or "Reset" to return to seeing all leads. This removes all active filters at once.

Tips & Best Practices

  • Start with broad searches and narrow with filters progressively
  • Save common filter combinations as bookmarks in your browser
  • Use status filters to focus on actionable leads daily
  • Filter by source monthly to evaluate marketing channel performance
  • Combine value and status filters to prioritize high-value active deals
  • Clear filters before exporting to ensure you get all intended records
  • Use date filters to identify leads needing follow-up attention
  • Filter before bulk operations like status changes or exports
  • Train team members on consistent filter usage
  • Document your most useful filter combinations for reference

Troubleshooting

Issue: Search returns no results

Solution: Check for typos in your search term. Verify you're searching for data that exists in your leads. Clear any active filters that might be excluding results. Try partial searches (e.g., first name only).

Issue: Filters don't seem to work

Solution: Refresh the page and reapply filters. Check that you actually have leads matching the selected criteria. Ensure filters aren't conflicting (e.g., filtering for "won" status and "new" source simultaneously might return nothing).

Issue: Can't find specific filter option

Solution: Some filters only appear if relevant data exists. For example, country filters only show countries present in your lead data. Check if you're looking in the right dropdown.

Issue: Too many results even with filters

Solution: Add more filters to narrow results further. Use the search bar in combination with filters. Consider if your criteria are too broad and need refinement.

Issue: Filter results seem incorrect

Solution: Verify that lead data is accurate. Check if leads are properly categorized with correct status, source, and type values. Update individual leads if data is wrong.
