Exporting lead data gives you flexibility to analyze your sales pipeline in external tools, create backups, share information with stakeholders, or migrate data to other systems. growlio makes exporting simple while providing powerful options to export all leads or specific filtered segments. This guide covers everything you need to know about lead data export.

How to Export Leads Data
Step 1: Navigate to Leads Section
Go to Business > Leads to access your leads list. You can export from any view (Kanban, Table, or List), though Table view makes it easiest to see what data you're exporting.

Step 2: Apply Filters Before Exporting (Optional)
Use status, source, type, value, or date filters to narrow which leads to export. Your export includes only leads matching active filters.

Tip: Export filtered segments when you need specific data, like all qualified leads from the last quarter.
Step 3: Select Specific Leads (Optional)
To export only certain leads, check boxes next to individual lead names in Table or List view. The export button updates to show it will export selected records only.

Step 4: Click Export Button
Find the "Export" button in the top-right corner of the leads page. It displays a download icon and indicates how many leads will be exported.

Tip: The button text changes based on context: "Export All", "Export Filtered", or "Export Selected (X)".
Step 5: Wait for Export Processing
growlio prepares your export file. Small exports (under 100 leads) complete in seconds. Larger exports take longer based on data volume.

Step 6: Download CSV File
Your browser automatically downloads a CSV file with a name like "leads_export_2025-01-15.csv" including the export date for easy organization.
Step 7: Open in Spreadsheet Application
Locate the downloaded file in your Downloads folder. Open it with Excel, Google Sheets, or your preferred spreadsheet application.

Tip: Right-click the CSV file and choose "Open With" to select your preferred spreadsheet app.
Step 8: Review Exported Data
Check that all expected information exported correctly. Standard exports include: name, company, email, phone, type, source, status, value, created date, and notes.
Step 9: Use Data for Analysis
Analyze lead data in your spreadsheet: calculate conversion rates, identify top sources, track value by stage, or create charts visualizing pipeline health.
Step 10: Save or Share Export File
Save the export file to a secure location. Name it descriptively (e.g., "Q1_2025_Qualified_Leads.csv") and organize in folders by date and purpose.

Troubleshooting
Issue: Export button is disabled
Solution: Ensure you have leads in your database matching current filters. Clear filters to see all leads. Verify you have Member-level permissions or higher - Viewers cannot export data.
Issue: Downloaded file is empty
Solution: Check that filters aren't excluding all records. Verify leads exist by checking the leads list count. Try clearing filters and exporting again. Refresh your browser and retry.
Issue: Export includes unexpected leads
Solution: Review active filters - you might have filters applied that you forgot about. Click "Clear Filters" to remove all filters before exporting if you want all leads.
Issue: Missing columns in export
Solution: Some fields may be empty for all leads. Custom fields only appear if you've configured them. Check individual lead records to verify data exists before exporting.
Issue: Can't open CSV file
Solution: Ensure you have Excel, Google Sheets, or another spreadsheet app installed. CSV files are plain text - open with any text editor if spreadsheet apps aren't available. Right-click and choose "Open With" to select an application.
