How to Export Form Data

Step 1: Navigate to Form Responses

Go to Business > Forms and select the form whose responses you want to export. Click the "Responses" tab to view submissions.

Step 2: Select Specific Responses (Optional)

Check boxes next to individual responses to export only selected submissions. The export button updates to show it will export selected items.

Step 3: Click Export Button

Find the "Export" or "Download" button near the top of the responses page. It shows a download icon and indicates how many responses will be exported.

Tip: Button text changes based on context: "Export All", "Export Filtered", or "Export Selected (X)".

Step 4: Download File

Your browser automatically downloads a CSV file named like "[Form Name]_responses_[Date].csv" for easy organization and identification.


Step 5: Open in Spreadsheet

Locate the downloaded file and open it in Excel, Google Sheets, or your preferred spreadsheet application. All form fields appear as columns.

Step 6: Save or Share Export

Save the export file to your preferred location with a descriptive name. Share with team members or import into other systems as needed.

Troubleshooting

Issue: Export button is disabled

Solution: Ensure form has responses to export. Clear filters to see all responses. Verify you have Member-level permissions or higher. Refresh browser and try again.

Issue: Downloaded file is empty

Solution: Check that filters aren't excluding all responses. Verify responses exist by checking the responses count. Try exporting without filters. Refresh page and retry export.

Issue: Export includes unexpected responses

Solution: Review active filters - you might have filters applied that you forgot about. Click "Clear Filters" to remove all filters before exporting if you want all responses.

Issue: Missing columns in export

Solution: Check if those fields were added to form after some submissions. Some fields may be conditional and not completed by all users. Verify export options include all fields.

Issue: Can't open CSV file

Solution: Ensure you have Excel, Google Sheets, or another spreadsheet app installed. Right-click file and choose "Open With" to select application. CSV files can open in any text editor if spreadsheet apps unavailable.
